Notion is the blank canvas of work software — docs, wikis, databases, notes and light task boards, all in one endlessly customisable workspace. For a solo operator or small team that wants one home for everything, nothing is as flexible. The catch in 2026 is how it prices AI.
Where Notion wins
- Flexibility. Build a CRM, a content calendar, a wiki, a personal OS — it’s all just pages, blocks and databases. The ceiling is your imagination.
- The free plan. For an individual it’s genuinely excellent (unlimited pages/blocks), and the template ecosystem means you rarely start from scratch.
- AI, when you pay for it. Business unlocks AI agents, multi-model access (GPT-5, Claude), meeting notes and workspace-wide search — a lot of value bundled in one place.
Where it costs you
Two real catches. First, free team workspaces are capped at ~1,000 blocks — fine solo, but teams hit the wall quickly and get pushed to paid. Second, the May-2025 change removed the cheap AI add-on: full AI now lives only on Business ($20/user/mo), so AI-curious small teams face a real jump. And the same flexibility that makes Notion powerful makes it a time sink to set up.

Who it’s for — and who should skip
Use Notion if you want one flexible home for docs, knowledge and light planning — especially solo or for a wiki. Skip it (or pair it) if you need serious project management/automation (ClickUp goes deeper) or cheap team AI.
Our verdict: the most flexible workspace going, and a no-brainer free for individuals — just go in knowing team collaboration and full AI both push you to paid sooner than you’d like.
