Zapier is the tool most people mean when they say “automation.” It connects the most apps, it’s the easiest to learn, and for a non-technical owner it’s often the fastest path from “I wish this were automatic” to a working workflow. The catch — and it’s a real one in 2026 — is price at scale.
Where Zapier wins
- App library. At ~8,000 integrations, Zapier connects to more services than Make or n8n. If you use something niche, Zapier is the most likely to already support it.
- Ease of use. The single-trigger-then-action model and a massive template gallery mean you can ship a useful Zap in minutes. This is its real moat for small businesses.
- AI in 2026. Copilot (build a Zap from a prompt), AI actions (classify/extract/summarize), Chatbots, Tables, and Interfaces are all in the platform now — and they’re well integrated.
Where it costs you
Zapier prices on tasks, and in a multi-step Zap every step counts as a task. A 5-step workflow that runs 200 times a month burns ~1,000 tasks — already past the entry paid tier. Industry analyses put Zapier at roughly 20–40× Make’s cost per operation at comparable volume. The free plan (100 tasks/month, single-step Zaps) is fine for a test and outgrown within a week of real use.

Who it’s for — and who should skip
Use Zapier if you’re non-technical, your volume is modest, or you need an integration only Zapier supports. Skip it (for now) if you’ll run high-volume, multi-step workflows — that’s where Make delivers the same outcome for a fraction of the cost, and where self-hosted n8n wins on price if you have the technical chops.
Our verdict: the easiest on-ramp in automation, and worth it at low volume — but do the task math before you scale, because the bill grows faster than you’d expect.
